why it exists
group travel operators spend hours finding vendors in unfamiliar cities, re-vetting places they have used before, and rebuilding context every time a new team member joins. institutional knowledge lives in email threads, spreadsheets, and individual heads, and walks out the door when someone leaves. no existing tool captures group-travel-specific intelligence: bus parking, group minimums, private dining capacity, historical performance by program type, or which contact actually picks up the phone.
what it does
natural language search parses trip intent, destination, group size, budget, and preferences into a structured query, with voice input supported on every field. multi-source discovery pulls from an internal database enriched with Google Places data, with chains, closed venues, and low-rated results automatically removed. vendors are ranked across five tiers: operator review history, google reputation, demographic fit, contact completeness, and program profile match.
every decision an operator makes (accept, reject, and why) feeds structured signal back into scoring. passive signals like dwell time, website clicks, and search abandonment are logged automatically. named vendor contacts persist across staff changes. institutional relationships survive turnover.
the data moat
the search layer is commoditized. any mapping tool can surface restaurants near a hotel. what no competitor can replicate is accumulated operational intelligence: which vendor was rejected because the bus could not park, which hotel charged a hidden fee, which museum has a group entrance not listed publicly. that data does not exist anywhere in the world. it is captured passively through normal coordinator workflow. every interaction makes the system more accurate. every coordinator who uses it contributes to a dataset their successors benefit from immediately. the longer it runs, the wider the moat. the software is the delivery mechanism. the data is the product.

trip opens on four doors: trips (every saved programme and the one departing next), operations (18 views covering departures, money, partners, marketing and the boards), vendors (35,000+ rated venues, searchable and mapped) and the tour builder.
the season is run here
the database is half of it. the other half is the work: operations is 18 views in five groups, and they follow a departure the whole way. plan holds the season at a glance, every programme side by side, what needs you today, and the month grid. pipeline is where a vendor actually moves: six stages from outreach through contracting, reservations, reminders, the visit itself and the notes you leave for next year, split across the three workstreams that run on different clocks (coaches at 30 days out, hotels at 45, vendors at 21). drag a card between lanes and the whole board keeps up.
commerce carries projected spend against budget per head and per night, the marketing pipeline, and the media a programme collects. people is the shared workspace for a programme and the private one for you. partners is the directory, your working set, the network behind it and what travelers said afterwards.
a reservation is a state, not a note: requested, held, confirmed in writing, deposit cleared, settled. the run of show turns a confirmed programme into departure-day pages, and three role-scoped doors hand the right slice to the right person without an account: travelers get the itinerary, partners get their own stops and paperwork, group leaders get the roster. nothing behind those doors can reach anything the link was not issued for.
the tour builder is the newest of them: search the vendor list, drag what you want onto a day, and the route redraws on the map as you go. it suggests what is near your last stop, and everything you place stays in your browser until you save it.
your base is the other half of the product, and it is not a break room bolted on the side. it is where you land between departures: 39 games, 9 studios for music, paint and generative art, a town to build, a garden to tend, and a grow space for breathing, stones, reading and movement.
